Team onboarding checklist
Use this when you create a new team or bring agents online. It follows the same shape as a Follow Up Boss–style ramp (company → team → routing → templates → daily work), but only lists what Unificar already supports. Terms: Glossary.
Open Admin from your avatar menu (admins only). Agents skip admin steps and jump to Daily loop.
1. Sign in or create the team
- New brokerage / workspace — Create account (
/register) creates a team and makes you the first admin. - Joining an existing team — open the invite link (
/invite/…), set your password, then sign in. Do not register a second team. - Local demo:

2. Company basics
Admin → Company (under More ▾):
- Team / company name
- Timezone
- Phone, address, website
There is no billing page, office-hours dialer, or phone-number inventory in Unificar.
3. Invite the team
Admin → Teams (Invites is a shortcut that opens the same flow):
- + Add users — name, email, optional phone, role (Admin or Agent).
- Teammate opens
/invite/<token>and sets a password. - Set Pause leads / Can export and other flags from the row or Permissions.
- Put agents into Groups if you will use group assignment or first-to-claim pools.

4. Stages, tags, and fields
Before importing a large book of business:
- Admin → Stages — confirm the pipeline stages your team uses.
- Admin → Tags — shared tags for lists and bulk actions.
- Admin → Custom Fields — extra person fields (type, usage, hide-if-empty, read-only).
People live under People & lists; each contact is a person record.
5. Lead flow, groups, and ponds
Admin → Lead Flow — for each source, choose how new people are assigned (round_robin, specific agent, unassigned, first_to_claim, or a Group) and optionally attach an Action Plan.
Admin → Groups — pools used by those rules.
Admin → Ponds / Ponds in the main nav — shared queues agents can claim.
6. Message templates and channels
- Admin → Email Templates / Text Templates — create at least one email with
{{first_name}}(and a text template if you use SMS). - Admin → Channels (under More ▾) — see which email/SMS providers are configured (
consolein local/dev, or Resend / Twilio when env is set). Calling is click-to-call (tel:), not a CRM dialer.
Agents use templates from the person composer (Send Email / Text). You can send or log only.
7. Action plans and automations
- Admin → Action Plans — multi-day nurture (tasks, email, SMS steps). Enroll from a person or from Lead Flow.
- Admin → Automations — run the automation runner; configure event triggers (
person_created,tag_added,no_contact_days,pond_claim) and stage automations.
Start with one simple new-lead plan; add more after the team is live.
8. Bring contacts in
Pick one path that matches how leads arrive:

There is no MLS sync, connected Gmail/Outlook mailbox, or Zapier app gallery — use API keys and webhooks instead.
Optional cleanup: Admin → Dedupe after a big import.
9. Daily loop (every agent)
Same core loop as the guided sessions:
- My Day — today’s people, tasks, and getting-started checklist.
- Open a person — note, email, text, or log call.
- Work Tasks and Inbox (claim / mark actioned).
- Use Calendar and Deals when you schedule or move pipeline.
- Check Reporting (and Activity) for a team snapshot.

10. Train the team
Walk agents through sessions 1–6 in the Guided sessions section of these docs. Admins continue with Session 7 — Team tools.
Out of scope (do not expect these)
Unificar does not currently include: billing/seats, MLS/IDX, power dialer or call recording, CRM-owned phone numbers / A2P registration UI, connected mailbox, Google/Outlook calendar sync, email open/click tracking, native mobile app, or a third-party integration marketplace.
